Position Description: Program Associate
Reports to: Executive Director
Status: Salary-Exempt
Responsibilities:
1.) Event Management (75%):
a) Identify and facilitate discussion and decisions about issues affecting
events, and ensure that Equality Ohio’s priorities are reflected
in the planning and presentation of events. Examples include Lobby Day
for Equality, Allies for Equality, legislative receptions, press conferences,
Equality Council events, Leadership Summits, conferences, Pride Festivals,
Membership House Parties and festivals around Ohio;
b) Identify and participate in discussion and decision-making about strategies,
opportunities, potential conflicts, and other issues related to the successful
production of events;
c) Develop and/or maintain highly professional standards and procedures
for production of events in keeping with the image and reputation of Equality
Ohio;
d) Handle logistics related to event locations including identifying
and recommending event locations, coordination with the location contact,
recommending menu and assuring onsite technical and media requirements
are met;
e) Draft event announcements, distribute invitations and announcements
in a timely fashion and manage the RSVP process;
f) Ensure that the objectives of each task are managed according to budget
and that all major milestones are accomplished on time;
g) Prepare name tags, participants lists, agendas and other printed material;
h) Arrange for catering, equipment rental and other vendor services;
i) Assure volunteer recruitment, preparation, management and follow-up;
j) Manage pre-event requirements, on-site registration, on-site requirements
and support and post event activities;
k) Prepare pre- and post-event analysis, and assess opportunities and
make recommendations for improving service to internal and external constituencies,
and implement those improvements as appropriate.
l) Prepare year-end events report, providing analysis and recommendations
for future actions and improvements.
m) Other duties as assigned.
2.) Program Support (15%):
a) In cooperation with program staff, coordinate statewide programmatic
tours, town halls and meetings that involve multiple partners including
working with diverse communities, providing support, talking to movie
distribution companies, helping craft marketing and promotion, handling
details; etc
b) Assist with conference coordination including taking notes at meetings,
contacting vendors, speaker and presenter research and coordination, coordinating
meetings and bundled event, etc.
c) Coordinate the application process for workshops including collecting
and tracking applications and helping coordinate selection committee work.
d) Other duties as assigned.
3.) Other (10%):
a) Complete all required internal paperwork;
b) Attend board and staff meetings as requested;
c) Consult with outside expertise as needed;
d) Other duties as assigned.
Qualifications:
a) Bachelor’s degree in a related field preferred; minimum 2 years
experience in positions with similar responsibilities working with political,
government, nonprofit or membership associations accepted.
b) Acute attention to detail.
c) Demonstrated excellence with time and deadline management.
d) Ability to communicate effectively, both orally and in writing.
e) Interest in equal rights and social policy.
f) Skill in organizing resources, establishing priorities, and project
management.
g) Strong interpersonal skills and the ability to work effectively with
a wide range of constituencies in a diverse community.
h) Ability to foster a cooperative work environment.
i) Ability to travel as needed for statewide events.
j) Demonstrated ability to use independent judgment in alignment with
organizational values.

Time Considerations:
This position requires substantial time flexibility. Expect no less than
25% of work to take place on evenings and weekends.

Development Intern

Responsibilities will include assisting in administrative tasks (invitations,

and prospects. The intern will gain exposure to donor cultivation, solicitation,
and stewardship; grant writing; event planning; corporate outreach;
all facets of fundraising campaigns.

Community Outreach Intern

Job Description:
Equality Ohio Education Fund seeks talented, hardworking inviduals
with a passion for community building. Gay Pride Month offers a once-a-year
opportunity to directly connect with key constitutent communities and
thousands of supportive Ohioans. During the month of June 2008, Equality
Ohio will be participating in no fewer than four Pride month festivals,
parades, or celebrations. This internship involves statewide travel,
keen attention to detail, and the ability to work well with staff and
dozens of volunteers. Primary responsibilities include help coordinate
multi-event scheduling and staffing of booths; help manage and motivate
on-site volunteers; help "work the crowd" and promote Equality
Ohio; manage distribution of marketing materials and promotional items;
booth setup and breakdown; transport booth contents to and from location
(some heavy lifting); help manage data entry volunteer nights during
the first week of July 2008. This internship requires that you have
a valid driver's license and a car.

Lobby Day Intern

Job Description:
Lobby Day for Equality is one of Equality Ohio's premier events each
year attracting over 400 citizens from around Ohio to come to the Ohio
Statehouse. This day of programming, meals and meetings introduces Legislators
to the lesbian, gay, bisexual and transgender (LGBT) community of Ohio,
while giving the participants an opportunity to share the story of their
lives one-on-one. The Lobby Day Intern will oversee the moving parts
of the event, including logistics, meeting schedules, registration and
meals. The intern will play an integral part in the planning and execution
of Lobby Day.
